Privacy Policy

This Privacy Policy explains what information Ascenvo, operated by Arcaeon ("we," "us," "our"), collects, how we use it, and the choices you have. It applies to the Ascenvo website, apps, simulators, and courses (the "Service").

1. Information we collect

• Account information. Your email address and, if you sign in with Google or Apple, the basic profile information that provider returns. We use this to create and secure your account.
• Payment information. Paid plans are processed by Stripe. Stripe collects and stores your card details under its own privacy practices; we receive only limited billing metadata (such as plan, status, and the last four digits) and never store your full card number.
• Voice recordings and audio. When you use the live AI caller, AI oral-board panel, or any drill that scores spoken answers, we capture and process your voice recordings to transcribe, score, and drive the interaction. You may decline voice features and use the typed alternatives instead.
• Usage and training data. Scenarios you run, scores, progress, course activity, feedback you submit, and basic device/log data (browser, IP, timestamps) used to operate and improve the Service.
• Measurement data. The anonymous id, event log, Google Ads tag, and Vercel Web Analytics described in Section 2.

2. Measurement and advertising

Pages on this site can run four measurement tools. This is exactly what each one does.

• An anonymous id in your browser. The first time a page records an event, your browser stores a random id under the name ascenvo_anon_id in its local storage. It is not your name or email. It lets us see that several visits came from the same browser, and if you later create an account, the events from that browser are linked to your account.
• Our own event log. Pages send short events to our server at /api/track: for example that a page was viewed, that a free tool or the live AI caller was opened, started, or finished, that an account was created, or that a checkout was started. When you finish some drills we also record the result of each scored item (right, partial, or wrong), which scenario it was, and how long the run took. Each event carries the page address, the anonymous id, your account id if you are signed in, and, if the link you arrived on carried them, its source tags (ref, utm_source, utm_medium, utm_campaign, and Google's click ids gclid, gbraid, and wbraid). The words you type into a drill are never part of an event.
• The Google Ads tag. Pages load Google's tag (gtag.js) for our Google Ads account. Like any request to Google, loading it gives Google your IP address, browser details, and the address of the page. It reads Google's click id from the address when you arrive from one of our ads, and Google may set its own cookies. When an account is created, we tell Google that a sign-up happened, so we can see which ads lead to accounts. Google handles this data under the Google Privacy Policy.
• Vercel Web Analytics. Our host, Vercel, counts page views on a few main pages (the home page, sign in, the overview, the oral board page, and some signed-in pages). It does not set cookies.

3. What stays in your browser

Nothing you type in a drill leaves your browser. Answers, notes, and typed responses in the practice drills are scored on your device and are not sent to us. If you are not signed in, your scores are kept only in this browser's local storage so the progress panel can show them, and clearing your site data removes them. If you are signed in, your scores (numbers, not what you typed) are also saved to your account so your progress follows you.

Two things you type do reach us: anything you write in a feedback box, and what you say or type to the live AI features (the AI caller and the AI oral-board panel), which is sent to our AI and transcription providers to run the conversation and score it.

4. How we use your information

• To create and secure your account and provide the Service;
• To process payments and manage subscriptions through Stripe;
• To run AI scoring and feedback (note: AI feedback is practice guidance, not an authoritative evaluation);
• To improve our scenarios, courses, and scoring;
• To see which pages, tools, and ads bring people to the Service and which ones they use;
• To communicate with you about your account, billing, and support;
• To comply with law and protect the Service.

5. Voice consent, retention, and deletion

Voice recording happens only when you start a feature that uses it, and you consent to that recording at that point. We retain voice recordings only as long as needed to provide and improve scoring, and you may request deletion of your recordings at any time using the contact below. You can use Ascenvo without voice by choosing the typed input where offered.

6. How we share information

We share information with service providers who help us run the Service under contract, for example Stripe (payments), our hosting, analytics, and authentication providers, and the AI and transcription processors used to score spoken answers. These providers may process your data only on our instructions. The one exception is advertising measurement: the Google Ads tag described in Section 2 sends data to Google, which Google also uses under its own terms. We may also disclose information if required by law or to protect rights and safety.

7. Sale and sharing

We do not sell your personal information. Under the California Consumer Privacy Act (CCPA/CPRA), letting an ad platform's tag collect data on our pages can count as "sharing" for cross-context behavioral advertising. To opt out of that sharing, use the switch in Section 9 or turn on Global Privacy Control in your browser. Either one keeps the Google Ads tag from loading.

8. How long we keep it

• The anonymous id stays in your browser until you clear your site data or turn measurement off in Section 9, which deletes it.
• Our event log is kept while the Service runs. We do not yet delete events on a schedule. Ask us and we will delete the events tied to your account, or to your anonymous id if you send it to us (Section 9 shows it).
• Google and Vercel keep what their tools collect under their own retention settings, described in their privacy policies.
• Account, payment, and training data is kept while your account is open and as long as needed for legal, tax, and accounting records after that. Ask us to delete it at any time.

9. Turning measurement off

One switch turns off the Google Ads tag, our event log, and Vercel Web Analytics in this browser. It also deletes the anonymous id stored in this browser. The setting is saved in this browser's local storage, so it covers this browser only, and clearing your site data resets it. It stops new collection from the next page you open. It does not delete what was already collected; email us for that.

Global Privacy Control. If your browser sends the Global Privacy Control signal, all three stay off automatically, and we treat the signal as a request to opt out of the sale or sharing of your personal information.

10. Your California privacy rights (CCPA/CPRA)

If you are a California resident, you have the right to:

• know what personal information we collect and how we use it;
• request access to or a copy of your personal information;
• request correction or deletion of your personal information, including voice recordings;
• opt out of the sale or sharing of your personal information (we do not sell it; for sharing, see Sections 7 and 9);
• not be discriminated against for exercising these rights.

11. Security

We use reasonable administrative and technical safeguards to protect your information. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.

12. Children

Ascenvo is intended for adults and is not directed to children under 18. We do not knowingly collect information from children.

13. Changes

We may update this Policy. Material changes will be posted here with a new date. Continued use after a change means you accept the updated Policy.
